How to automate key management in an office building?
BRIEF BUSINESS DESCRIPTION
The Aída Building is one of the best-known office buildings in the city of Zaragoza. Like the Verdi and Trovador buildings, this property belongs to the real estate company Estudios Cave.
Thus, it is a place where numerous companies rent space to carry out their professional activity, which entails the management of a large volume of keys for all the floors and stories of the building.
WHAT PROBLEM NEEDED TO BE SOLVED?
The existing problems regarding key management in the Aída Building, given that it is a highly sensitive issue and errors cannot exist, were the following:
Security issues: Who has the keys at any given time? If the keys are lost, whose fault is it? Reception, the user… (it’s one person’s word against the other’s). If someone comes to pick up the keys on behalf of the manager of one of the offices, are they believed? Do they have authorization? How should reception proceed to avoid problems? Until now, everything was handled through a manual pen-and-paper log.
Workload for reception (with its associated cost): Need for continuous reception staff at their post to be able to hand over and receive keys at all times.
User waiting times: The reception staff of the Aída Building have tasks beyond their reception post. If they are elsewhere at the moment a client arrives and needs the keys, they have to wait, call… with the inconvenience that entails for both the staff and the user.
Lack of schedule flexibility: If a client needs to go to the office, even just to get something they forgot, over the weekend, very early in the morning, or late in the evening, they cannot access the building if the reception staff is no longer available.
HOW DID COMMUNITY LOCKER SOLVE THESE ASPECTS?
Through the installation of our smart lockers for key management, all the previous problems were solved in the following way:
Security issues: Community Locker’s smart key locker system allows complete traceability of which user has opened their locker and picked up the keys at any given time, thus making total control of them possible.
Workload for reception: This system is fully digital and automated, so it does not require any human intermediation (such as reception staff) to operate. The user enters their personal code, picks up the keys, and enters their office. And the same process when returning them.
User waiting times: 0 waiting times, the user picks up the keys whenever they need them thanks to our office key lockers.
Schedule flexibility: The system is operational at all times, so flexibility now only depends on the building’s entry hours set by its management.
